RECEPTIONIST

Position Summary:

To create a professional practice image by performing receptionist and general office duties as efficiently as possible, promoting an even flow within the office and interacting well with patients and office staff, and help ensure patients arrive on time as scheduled  throughout the duration of their care.

Essential Functions:

● Exhibits communication skills.
● Greets patients and visitors, determines needs and directs them accordingly.
● Coordinates new patient information. Reviews completed forms for accuracy and completeness with special attention to insurance information.
● Verifies insurance coverage with each patient.
● Answers questions and gives information directly or on the telephone within the limits of his/her knowledge and clinic policies.
● Takes messages from the answering machine and delivers messages to appropriate people.
● Check the appointment reminder list.
● Answers all telephone calls effectively by screening and routing calls promptly.
● Checks patients out after a visit, makes more appointments.
● Performs daily housekeeping duties in the waiting room and reception area, and other areas as needed.
● Assists in the laundry duties.
● Schedules, confirms, cancels, and reschedules appointments as necessary.
● Provides therapist’s with a daily schedule at the end of the day.
● Provides patients with routine information and instructions in preparation of the patients visit within limits of the clinics policy (i.e., bring referral, bring/wear shorts, office visit charge, etc.)
● Calls patients who miss appointments to reschedule and documents such in patient notes.
● Research patient records to determine if a patient has been seen in the office before.
● Determines need for patient referrals. Follows-up on and renews patient referrals as necessary.
● Ensures that proper forms are ready for Evaluations, Progress Notes, and Discharge visits.
● Collects co-pays and issues receipts.
● General typing or correspondance as requested.
● Assists biller, collector and others as needed.
● Specific tasks and other related duties as necessary to maximize patient flow, productivity, and efficiency.
● Takes on duties for which cross training has been provided, when others are absent.

Education, Experience and Skills Required:

● High school graduate with office experience
● Previous experience working with the public.
● Ability to work in a high volume office atmosphere.
● Ability to type, use office equipment such as a computer, copier, fax machine and scanner.
● Ability to organize and prioritize work and to meet the job requirements.
